Hotel maintenance software
Requests, approvals, work orders, preventive maintenance, and assets in one phone-first app, now in a live engineering pilot.
See what’s in the pilotHotel maintenance, thoughtfully built
A phone-first maintenance app for the people who keep a hotel running, plus hands-on help shaping the workflow around it.
Requests, work orders, preventive maintenance and assets in one place. Now in a live engineering pilot at a working hotel.
The 70-second tour
Who Bit & Bearing is for, what it does, and how a request moves from report to finished work. Jump to any part.
Illustrative screens with sample data. Not a recording of the live app. With narration.
Who it’s for. Built for the people who keep a hotel running: technicians, chief engineers, managers and owners, front desk and housekeeping, and guests, who can scan a QR code in the room with no app and no sign-in.
1. Report it in seconds. Staff tap or talk. A front-desk agent picks Room 214, says “AC unit is rattling and won’t cool,” sets High priority and sends it. Guests can report the same way from a room QR code.
2. Approve and assign. Every request lands in one list. A manager approves it, assigns it to a technician, and a work order is created. The technician’s phone gets a notification.
3. Work it and close it. The technician moves the work order to Working, sees what fixed this room before, adds a photo and a comment, then marks it Done and notes what fixed it, so the next person starts with the answer.
4. Plan ahead. Preventive maintenance schedules itself from the last finished job. Room status, asset health and response times are a tap away.
Everything in one app. Requests, work orders, preventive maintenance, assets and rooms, team messages, voice to text, guest QR codes, phone notifications, reports, procedures, meters and compliance logs.
Built around the work.
Clear language. Useful tools. Room to adapt.
What we do
Bit & Bearing brings the tool and the workflow into the same conversation.
Requests, approvals, work orders, preventive maintenance, and assets in one phone-first app, now in a live engineering pilot.
See what’s in the pilotWalk through how work arrives, how it gets recorded, and where the handoffs get unclear. Turn what happens on the floor into a practical starting point.
Discuss the language, screens, and workflow your property needs. Define the scope together, then test proposed changes against real tasks.
Bit & Bearing / Hotel maintenance
The app is running at a working hotel, where the engineering team is putting it through real requests and work orders. We add to it every week and check each change against the work on the floor.
Staff report an issue from their phone, and guests can scan a QR code with no sign-in. A manager approves or declines it.
Approved requests become work orders. Assign people or teams, track progress, and sign off finished work. List, table, and calendar views.
Recurring plans that schedule the next job from when the last one was finished, or on a fixed calendar.
Assets and locations you can search by room, with the work history attached.
Also in the pilot: messages with photos, files, and voice-to-text; an installable phone app with notifications; import of past work history from a previous system; and a feedback button on every screen.
Current access: invited hotel staff only. People sign in with a one-time code, with no passwords to remember.
Sign-in codes by text message are waiting on carrier registration. Photos on the guest request page and reporting are still to come.
Housekeeping and front-desk coordination are future directions. This is a pilot, with production readiness still to be established.
A practical approach
The conversation starts with the property’s work, then moves to the tools.
Look at one request, one work order, or one preventive task from start to finish.
Identify where clearer records or a simpler handoff would help.
Review the pilot on a phone and use what you learn to shape the next change.
Help & resources
